The Challenge:
- Dispersed communication. Questions about tickets, hospitality, merchandise and memberships landed in different inboxes with no central structure.
- Limited visibility. The club lacked clear reporting on volumes, themes, SLAs and ownership of fan requests.
- Operational strain. Staff had to manually coordinate and chase answers across departments, increasing workload and error risk.
This fragmented setup made it hard to deliver consistent, scalable service as fan expectations and volumes grew.
The Idea:
Antwerp needed a single service hub for all fan-facing communication. We designed a Zendesk-based operation, tailored to a football club reality, where every question becomes a trackable ticket with an owner, status and due date. Automations, macros and routing rules ensure the right team sees the right request at the right time.
The Solution:
- We implemented a central Zendesk instance in collaboration with Premium Plus, connecting key channels (email, web forms, selected social) to one queue.
- We configured ticket categories, workflows, SLAs and templates aligned with Antwerp’s ticketing, merchandising and membership processes.
- We set up dashboards and reporting so the club can monitor volumes, response times and themes across all fan service touchpoints.
This turns fan communication from scattered messages into a structured, measurable service operation.
